Beyond Scrubs Veterinary CE, LLC respects your privacy. This Privacy Policy explains the personal information we collect through beyondscrubs.vet, event registration, communications, and CE administration; how we use and disclose it; and the choices available to you.

1. Information We Collect

We may collect information you provide directly, information generated when you use the website, and limited information from service providers. Depending on how you interact with us, this may include:

·       Identity and contact information, such as name, email, telephone number, mailing address, and emergency-contact details when requested.

·       Professional information, such as profession, credentials, license or registration number, licensing jurisdiction, employer, and CE attendance or completion records.

·       Registration and transaction information, such as selected program, amount, payment status, billing contact details, discount eligibility, refund history, and the status of any required handoff to Steph Travels. Stripe or another payment processor collects payment-card details; Beyond Scrubs generally does not receive the full card number or security code.

·       Event needs you choose to provide, such as accessibility requests, dietary restrictions, allergies, rooming preferences, or emergency information. Please provide only what is necessary.

·       Communications, surveys, evaluations, photographs, videos, testimonials, and customer-service records.

·       Device and usage information, such as IP address, browser and device type, pages viewed, referring page, approximate location derived from IP address, cookie identifiers, and website interaction data.

2. How We Use Information

We use personal information to operate the website and events; create and manage registrations; process payments and refunds; communicate logistical or safety information; coordinate the handoff to Steph Travels when an associated travel reservation is required or requested; verify attendance; issue certificates; report CE participation when applicable; provide requested accommodations; respond to inquiries; prevent fraud and protect security; maintain business and tax records; improve programs; send marketing communications where permitted; and comply with legal, regulatory, insurance, and professional obligations.

3. How We Disclose Information

We do not sell personal information for money. We may disclose information only as reasonably necessary to:

·       Service providers that support hosting, forms, email, analytics, payment processing, customer support, document storage, security, and event operations, including Squarespace and Stripe, subject to their own roles and privacy terms.

·       AAVSB/RACE, CE Broker, veterinary licensing authorities, auditors, or other approved reporting systems to verify approval, attendance, or CE credit.

·       Steph Travels, when an associated travel reservation is required or requested, to initiate and coordinate the separate travel-booking process, communicate booking deadlines, and confirm whether the required travel reservation has been completed. We may provide contact and registration details and coordination needs, but not your full payment-card number or security code. Steph Travels’ handling of traveler information is governed by its own privacy disclosures and travel agreement.

Presenters, venues, accessibility providers, emergency responders, insurers, professional advisers, and event contractors when needed to provide services, protect safety, or address a claim.

·       Government authorities or other parties when required by law, legal process, or a good-faith need to protect rights, safety, security, or prevent fraud.

·       A successor in connection with a merger, financing, reorganization, or sale of all or part of the business, subject to appropriate protections and applicable law.

·       Other parties at your direction or with your consent.

We may use or disclose aggregated or deidentified information that cannot reasonably identify you, subject to applicable law.

4. Cookies and Similar Technologies

We retain information only as long as reasonably necessary for the purposes described above, including event administration, CE verification, tax and accounting, disputes, insurance, security, and legal compliance. Retention periods vary by record type and applicable professional requirements. We may retain attendance and certificate records longer than general marketing or inquiry data so participants can document CE completion. We may delete or deidentify information when it is no longer needed.

7. Security

We use reasonable administrative, technical, and physical safeguards appropriate to the nature of the information. No internet transmission or storage system is completely secure, and we cannot guarantee absolute security. Do not send full payment-card numbers, passwords, passport copies, or detailed medical records by ordinary email unless specifically requested through a secure method.

8. Your Choices and Privacy Rights

You may unsubscribe from marketing emails using the link in the message. Depending on where you live and subject to exceptions, you may have rights to request access, correction, deletion, or a copy of personal information; to object to or restrict certain processing; to opt out of certain targeted advertising, sale, or sharing; or to appeal a denied request.
